1. APPLICATION OF THESE TERMS AND CONDITIONS
1.1. By entering into an agreement with The Green Rooms, the Customer is deemed to have accepted these Terms and Conditions in full. It is the Customer’s responsibility to obtain and retain a copy for future reference.
1.2. The Green Rooms reserves the right to update or amend these Terms and Conditions at any time. Any changes will be communicated where necessary.
1.3. No changes or modifications to these Terms and Conditions will be valid unless agreed in writing by The Green Rooms.1.4. If any provision of this Agreement is found to be unenforceable or invalid, the remaining terms shall continue in full force and effect.1.5. This Agreement shall be governed by English law. Any disputes arising from or in connection with this Agreement shall be subject to the exclusive jurisdiction of the English courts.
2. OUR PRODUCTS
2.1. The Green Rooms’ website, brochures, and elevation drawings are intended as guides only and do not form part of any legally binding contract.
2.2. While The Green Rooms makes every effort to ensure accuracy, all measurements and specifications provided (on the website, in brochures, or in order documentation) are subject to reasonable tolerances and may vary slightly.
2.3. Drawings are provided for illustrative purposes only, showing approximate scale, dimensions, and the positioning of windows and doors. They should not be relied upon for precise details such as minor measurements, finishes, or the exact placement of fixtures.
2.4. The Green Rooms reserves the right to modify product specifications without prior notice.
Such changes are rare and may be necessary to:
• Improve product quality or efficiency.
• Address material availability issues.
• Adjust for significant material cost fluctuations.
2.5. The Green Rooms will always aim to inform the Customer of any significant changes before proceeding with work.
3. PRICING
Once the Customer places an order and the deposit is received, the price stated will remain fixed, except in the following circumstances, where any recent price increases may apply:
• The Customer requests changes to the specification, design, or choice of materials, fixtures, or fittings.
• The order is placed on hold for 90 days or longer.
• The Customer delays the delivery and installation date beyond 30 days from the original start date.If any of the above apply, The Green Rooms reserves the right to adjust pricing in line with current material and labour costs.
4. PAYMENTS
4.1. The Green Rooms and the Customer agree to the following payment terms:
• At the time of ordering, a holding deposit must be submitted. This deposit becomes non-refundable 6 weeks before the scheduled installation date.
• Throughout the installation period, weekly payments will be required as per the agreed schedule between The Green Rooms and the Customer.
• Upon completion, the final payment of the outstanding balance must be made on or before the final day of installation.
4.2. If additional minor works or remedial actions are required after the main installation, a proportionate retention (based on the cost of outstanding work) may be agreed upon until completion of the remaining tasks.
4.3. Payments can be made via cash or bank transfer.
4.4. If the Customer fails to make the final payment by the due date (i.e., upon completion of installation), The Green Rooms reserves the right to charge interest on the overdue amount. Interest will be charged at a rate of 3% per annum above the Bank of England base rate, accruing daily from the due date until full payment is received, whether before or after a court judgment. The Customer is also liable for any debt collection fees reasonably incurred by The Green Rooms as a result of non-payment.
4.5. Clause 4.4 will not apply if the Customer has raised a legitimate dispute in good faith regarding an invoice and has promptly informed The Green Rooms. No interest will accrue while the dispute is being resolved.
4.6. The Green Rooms is not responsible for any items placed within the garden room before the construction process is formally completed and all due payments have been received in full.
5. CANCELLATIONS
5.1. As all products designed and manufactured by The Green Rooms are made-to-order and built to customer specifications, they cannot be cancelled once production has begun.
5.2. Customers may cancel an order and receive a full refund up to 6 weeks before the scheduled installation date.
6. ORDERS ON HOLD
6.1. If a Customer is not ready to proceed with their installation date, they may request to place their order on hold. The holding deposit will remain on account with The Green Rooms, and the original quoted price will remain fixed for 90 days. After this period, any recent price adjustments will be applied to the order.
6.2. Orders may remain on hold for a maximum of 12 months. If the Customer has not scheduled an installation within this timeframe, the order will be automatically cancelled, and The Green Rooms will contact the Customer to arrange a refund of the holding deposit, where applicable.
7. PLANNING PERMISSION AND BUILDING REGULATIONS
7.1. Planning permission is not typically required for garden buildings constructed by The Green Rooms, as we design our structures to fall within permitted development. However, it is the Customer’s responsibility to confirm whether planning consent is necessary for their specific installation. The Customer is strongly advised to consult their local planning authority for clarification before proceeding. The Green Rooms will not be held liable for any breach of Permitted Development or Planning and/or Building Regulations applicable to the property.
7.2. The Green Rooms’ garden buildings are designed to comply with permitted development guidelines and do not meet Building Regulations. As such, they must not be used for sleeping accommodation, as this would constitute a breach of Permitted Development Regulations. The Green Rooms accepts no liability for the Customer’s chosen use of the building. Customers should contact their local Building Control authority for further advice or additional requirements regarding compliance.
8. SCHEDULED DATES
8.1. The Green Rooms will always make every effort to honour the estimated delivery and installation date. 95% of projects are completed within the estimated timeframe; however, installation dates cannot be guaranteed. The Green Rooms will not be held responsible for any postponements or delays that occur due to circumstances beyond its control, including but not limited to:
• Extreme weather conditions
• Access difficulties
• Parking restrictions
• Traffic delays
• Material supply issues
8.2. The Green Rooms shall not be liable for any loss, damages, charges, or expenses incurred by the Customer as a direct or indirect result of a delay in delivery, installation, or completion.
8.3. Any timeframes provided to the Customer for the duration of an installation are estimates only and do not form part of a legally binding contract. The Green Rooms does not guarantee that installation will be completed by a specific date or time.
9. WORK ON SITE
9.1. The Customer is responsible for ensuring that all necessary parking permits, site access, and permissions are arranged before the scheduled installation date. Electricity and water must be available on-site for the duration of the installation. A parking space for at least one van must be provided near the site.
9.2. If the Customer is providing a concrete base to work off, it must be level and have proper drainage in place.
9.3. While every effort is made to minimise damage, The Green Rooms cannot be held liable for any unavoidable damage to the Customer’s property caused by the installation process. The Customer acknowledges that some damage may be unavoidable, particularly to access routes, gardens, and surrounding areas.
9.4. The Green Rooms strongly recommends that any garden landscaping is completed after the installation of the building to avoid incidental damage.
9.5. The Green Rooms reserves the right to withdraw its employees or contractors from the site if the working conditions are deemed unsafe, in accordance with current Health and Safety Regulations. If work is paused for safety reasons, The Green Rooms will discuss the necessary changes with the Customer, which must be addressed before work can continue.
9.6. All installation personnel are fully trained and follow safe working practices, including the use of Personal Protective Equipment (PPE), in accordance with Health and Safety regulations. If the Customer requires a full Risk Assessment or Method Statement, they must provide 8 weeks’ notice, and additional charges may apply.
9.7. The Green Rooms holds comprehensive liability insurance up to £1 million. Full details are available upon request.
9.8. The site survey conducted before sale is a visual inspection only. The Green Rooms cannot be held liable for any underground obstructions (such as pipes, cables, or tree roots) discovered once work begins.
9.9. There should be bathroom facilities available to the installation team. If no bathroom is available on-site, The Green Rooms will hire a portable toilet, and the Customer will be responsible for the additional cost.
10. FOUNDATIONS
10.1. The Customer must be present on the scheduled date when the foundations are marked out. Once the position is confirmed and the base is constructed, it cannot be altered. The Customer should carefully consider any surrounding areas that may obstruct or restrict access to openings, doors, or windows on the building.
10.2. No apertures or fittings for services not supplied by The Green Rooms will be made unless specifically agreed upon and confirmed in writing within the Customer’s quote.
10.3. If the Customer chooses to use an existing base (e.g., a concrete slab), The Green Rooms will not be liable for any subsidence, settlement issues, or structural instability resulting from its use.
10.4 The client is responsible for advising of any existing underground services. The Company is not liable for obstruction, relocation, or damage to unknown or undeclared services.
11. ELECTRICAL WORKS
11.1. A Part P certificate will only be provided by The Green Rooms upon completion of a full external power connection. The certificate will be issued only after the final balance has been paid in full and may take up to 4 weeks to process. It is the responsibility of the certified electrician to certify all electrical works.
11.2. The Green Rooms will make every effort to provide an accurate quotation for electrical works; however, the site survey is visual only and assumes that the Customer’s existing electrical system complies with current building regulations. Any unforeseen issues may result in additional costs.
11.3. The Green Rooms reserves the right to refuse to complete electrical work or charge additional fees if the existing power supply or consumer unit is not suitable for connection. Any necessary additional work and associated costs will be discussed and agreed upon with the Customer before proceeding.
11.4. If The Green Rooms is connecting to an existing electrical cable or a Customer-supplied cable, it is the Customer’s responsibility to ensure that the cable is properly run from the main fuse board in the house to the garden room site. The cable must have at least 10 metres of excess length at the installation site for proper connection.
11.5. The Green Rooms reserves the right to modify electrical product specifications or services to ensure compliance with safety regulations. The Customer will be informed of any required changes and any cost implications before the work is carried out.11.6. No additional electrical work will be carried out by The Green Rooms or its designated subcontractors unless agreed in writing before the electrical team arrives on-site. Any extra work required must be confirmed and quoted before installation.
11.7. If The Green Rooms is completing an electrical connection, the main power supply to the Customer’s property will need to be temporarily disconnected to carry out live work. During this period, electricity and internet services may be disrupted. The Green Rooms’ electricians will update the Customer on the expected timing, but exact timeframes cannot be guaranteed. The Customer accepts that they may need to make alternative arrangements while work is being carried out.
11.8. In order to complete an electrical connection, The Green Rooms may need to lift decking, patio slabs, or other garden landscaping materials. The Customer acknowledges that some minor, unavoidable damage may occur during this process. The Green Rooms will attempt to restore affected areas, such as replacing patio slabs or brickwork; however, the Customer accepts that achieving a perfect match to the original finish may not always be possible.
11.9. Where internal electrical work is required, the Customer accepts that some unavoidable damage may occur to floorboards, tiles, skirting boards, paintwork, and plastering. The Green Rooms will take all reasonable care during installation but will not be held liable for minor aesthetic damage resulting from necessary electrical works.
12. YOUR GUARANTEE
12.1. The Green Rooms buildings are covered by a comprehensive guarantee, which becomes active once the final balance has been paid in full. The terms of the guarantee are as follows:
• 10 years: Structural defects due to design or manufacturing faults, including rot and corrosion.
• 3 years: Faults in double glazing, including internal misting, door and window hinges and locks, and external decking (rot, corrosion, and structural defects). There is a 3 year manufacturer-backed guarantee on all air conditioning units.
• 1 year: External facias, internal linings and trim, floor coverings, internal accessories, blinds, electrical installations and appliances, including underfloor heating, electrical and network connections.
12.2. Buildings constructed by The Green Rooms under Permitted Development must not be used for habitable accommodation. If a building is used as sleeping accommodation, the guarantee becomes void. The guarantee excludes normal wear and tear and decorated surfaces.
12.3. The Green Rooms does not guarantee against changes in the external cladding colour due to weather exposure.
Timber cladding is a natural product, and minor imperfections may develop due to environmental factors.
All external timber will naturally fade and silver over time. It is recommended that Customers treat external timber every few years with UV Protection oil to slow the fading process.
12.4. Superficial cracking of timber cladding and/or fascia boards is not covered under the guarantee.
12.5. The Green Rooms guarantees glass on windows and doors in accordance with the “Glass and Glazing Federation” guidelines. However, scratches or imperfections on the glass are not covered once the final building inspection has been signed off.
12.6. If underfloor heating is installed, all furniture must be raised on legs. The use of flat-based furniture will invalidate the guarantee.
12.7. Guarantee claims must be reported to The Green Rooms’ main office immediately upon discovery of the fault. Failure to report an issue promptly may result in the guarantee being invalidated. Once a claim is approved, a maintenance team will be sent to fix the issue free of charge. The Green Rooms will not reimburse payments made to third-party contractors without prior written consent.
12.8. If the Customer is found responsible for any faults or damage, all costs associated with repairs will be charged to the Customer.
12.9. The Green Rooms does not guarantee materials, appliances, or services that were supplied by the Customer for installation. Any such items are installed on a goodwill basis only.
12.10. The company’s liability shall not exceed the total purchase value of the building. Taking the steps necessary to rectify an issue shall be considered full discharge of The Green Rooms’ liability under the warranty.
12.11. The Green Rooms will not be held liable for any subsidence of the garden room or surrounding area unless caused by negligence during installation.
12.12. Any structural alterations made to the building by the Customer or a third party will void the guarantee. Any remedial work required as a result of alterations will be chargeable in line with clause 12.9.
12.13. The Customer must maintain proper ventilation and drainage around the building. Blocking the sides of the building with paving, soil, or other landscaping materials may cause excessive moisture retention, which can lead to damage. Blocking in the sides of the building will void the guarantee.
12.14. The maximum internal floor loading limit for standard garden buildings is 380kg per square metre. Exceeding this limit will invalidate the structural guarantee.
12.15. As with any outdoor structure, animals may occasionally burrow or nest underneath the garden building. The Green Rooms is not liable for pest infestations, and the Customer is responsible for arranging appropriate removal if necessary.
12.16. The Customer is responsible for ensuring that all installed appliances are properly maintained, including regular servicing of air conditioning units.
12.17. The Green Rooms does not guarantee building work against damage from extreme weather or flooding. The Customer acknowledges this risk and is responsible for taking protective measures where necessary. The Green Rooms is not liable for delays, costs, or damages caused by such events.
13. PLASTERED BUILDINGS
13.1. Plaster cracking wider than 2mm is covered under the guarantee for 1 year from the completion date.
13.2. The Customer is responsible for ensuring that the building is well-ventilated during the plaster drying process. Failure to provide adequate ventilation may result in moisture retention or cracking, for which The Green Rooms will not be held liable. It is recommended to open windows, use ventilation systems, or gently heat the room to facilitate proper drying.
14. VENTILATION
14.1. The Customer must ensure adequate heating and ventilation is provided to the building throughout the year. Like any enclosed space, garden rooms require regular airflow to prevent moisture buildup, and it is recommended to open doors or windows periodically. The Green Rooms accepts no liability for issues caused by inadequate ventilation or heating.
14.2. If the garden room is used as a gym or exercise space, it is especially important to maintain good ventilation. It is recommended to heat and ventilate the building before and during use to prevent condensation on equipment and reduce moisture buildup.
14.3. If the garden room is left unoccupied for an extended period, it should still be ventilated regularly. Where possible, leave windows or trickle vents open to allow airflow and reduce the risk of condensation or damp buildup.
14.4. Do not dry clothes or laundry inside the garden room with doors and windows closed. The excess moisture from drying clothes can lead to condensation and damp issues. If drying clothes indoors is necessary, ensure proper ventilation by opening windows or using a dehumidifier.
15. GROUND, GUTTER, AND ROOF MAINTENANCE
15.1. The Customer is responsible for keeping the areas around the garden building clear. A sufficient air gap must be maintained under the sides and rear of the building, ensuring it remains free from vegetation, weeds, and other obstructions. This helps prevent moisture buildup and structural damage while maintaining proper ventilation as outlined in Clause 14.
15.2. Gutters (where applicable) and roofs must be inspected and cleared of debris at least twice a year. Leaves, moss, and other blockages can lead to drainage issues, water damage, and deterioration if not regularly maintained.
15.3. Failure to keep gutters clear and maintain ventilation gaps may result in damage to the building’s structure, which will invalidate the guarantee.
15.4. If remedial work is required and it is determined that the damage was caused by inadequate maintenance, all associated repair costs will be charged to the Customer.
16. KITCHENS & BATHROOMS
16.1. The Green Rooms recognises that kitchen and bathroom projects can vary widely in design and specification. To ensure clarity, all quotations are based on a standard basic specification, unless otherwise agreed.
16.2. The basic specification will be clearly outlined in the initial quote provided by The Green Rooms. This ensures transparency regarding the materials, fixtures, and finishes included in the quoted price.
16.3. If the Customer requests modifications to the agreed specification—such as additional tiling, upgraded fixtures, or high-end fittings—these changes may incur additional costs. Any additional charges must be agreed upon in writing before the modified work begins.
17. SUBSTITUTIONS
17.1. The Green Rooms reserves the right to substitute products or materials that are deemed inferior, unavailable, or unsuitable for the project. Any substitution will be made using alternative options that meet or exceed the required standards in terms of quality, durability, functionality, and aesthetics.
17.2. Substitutions will be discussed with the Customer whenever possible to ensure that the overall design intent and agreed specifications are maintained.
17.3. The Green Rooms will provide reasonable justification for any proposed substitutions and will seek Customer approval before implementing changes, unless the substitution is minor and does not affect the functionality or appearance of the final build.
18. LIABILITY
18.1. The Green Rooms does not exclude or limit liability for death or personal injury caused by negligence, including that of its employees, agents, or subcontractors. Additionally, The Green Rooms remains fully liable for any instances of fraud or fraudulent misrepresentation.
18.2. Nothing in these Terms and Conditions affects the Customer’s legal rights as a consumer under applicable UK law. For further information on consumer rights, the Customer may refer to Citizens Advice Bureau or Trading Standards Office.
